Rossy, vbulletin is one of the best standards out there. I don't think anyone has said they didn't buy their message board, but most use those free pieces of crap like phpbb. At least you were smart enough not to go free and then pretend like it's the best solution.
It is apparent you have a STEEP learning curve here though. I almost feel sorry, but not.

Naw, add all the hacks you can.
Then Ross gets to discover when vbulletin upgrades how much HELL it's gonna be to deal with the hacks (and the ones that no longer work).
You see, this is VBulletin 3.0.8. Vbulletin 3.5.x is already in RC1, which means it's right around the corner and Ross has to update all over again. Any hacks applied now more than likely will not work with 3.5 until the modders update.
Though that shouldn't be any more than like having a root canal. :)

When is the right "time". Shouldn't someone being showing the owner how to run the control panel, setup the proper forums, activate usergroups, avatars, setting limits, and more?

I could help Ross with all of that, and he knows it, since I run a Vbulletin board as well.
HOWEVER, self-discovery is actually better, because you will be more capable afterwards. After 6 months, I am still discovering things in the control panel.
